All right, you launch your VOC program0:02
All right, you launch your VOC program. You are collecting feedback, you got themes, reports, maybe even a few dashboards, but here's the reality check. If feedback doesn't lead to change, your VOC program is just semantics. In this video, we are diving into most critical and most overlooked part of VOC, closing the loop, not just with customers, but with an internal teams.
Let's get clear on what we mean by closing the loop0:41
Let's get clear on what we mean by closing the loop. There are two loops in any VOC program. External loop, you acknowledge customer feedback, follow up and show you have taken action. Internal loop, you deliver feedback to the right teams internally and ensure that it leads to a decision or improvement. Most companies do need a well. They may collect MPS and maybe even report on it, but customers never hear back. And internal teams don't change anything. A great VOC program closes both loops.
Let's have you build trust inside and out.
Let's start with customers1:30
Let's start with customers. Here's what usually happens. A customer leaves a comment in an MPS survey. They may say a great support, but app is buggy. Guess what? It goes into Google Sheet, collecting dust, nothing happens. Now imagine you did that in a conversation. Someone gives you a helpful feedback and you just stare at them, blank looks. Now closing the loop externally is about acknowledging the feedback.
And when appropriate, telling customers what you have done with it, you can simply reply to MPS or CSAT comments via email or in-app message. You could also create a, you ask, we did section in your help center or newsletter to show you have taken action back to your customers. Have your CX teams tag accounts that give feedback and follow up after fixes. Now let's talk about some real world examples here. As SaaS company, notice a recurring MPS team around confusing onboarding emails.
They rebuilt the sequence and sent a follow up to users who left the comment saying we heard you, we simplify our onboarding base on your feedback. Thanks for helping us improve. Now that message alone had 36% reply rate, nearly all positive. These small actions built brand trust and increased the likelihood of future feedback.
Now the internal loop where most VOC programs get stuck3:05
Now the internal loop where most VOC programs get stuck. You got data, you got patterns, but when you sent that slide deck to product or ops, crickets, here's why. It's too vague, it lacks volume impact. It feels like just another customer support complaint. You need to frame the feedback in a way that triggers decisions. Let's use the 3P formula here. Pattern, what's happening and how often? 24% of onboarding MPS feedback in the last 60 days mentioned confusion around account setup.
What's the business or user impact? Accounts mentioning this are converting 15% less. Often, and ticket volume is up 20%. Let's talk about proposal. What should we try? Let's do A/B test. It's simplified onboarding flow for two weeks and monitor the feedback and measure the conversions. This format turns feedback into business case, not just to complain. It respects internal team's time and decision-making progress. To make this work consistently, you need more than just supports.
You need feedback champions. This is a designated person, not necessarily full-time, who acts as the translator between customer feedback and the rest of the work. Here's their role. They curate and team feedback weekly. They run short VOC things with cross-functional teams. They track which insights led to actions and follow up on what change. Many high-growth CX teams do this in 30-minute weekly sessions.
Maybe they pick one top issue, frame it with that 3 formula and drive a decision or log the rejection reason. This creates a living backlog of VOC insights and shows momentum over time. You're turning your CX team into a strategic engine and not just the support center.
One of the biggest reasons VOC dies inside companies is not5:21
One of the biggest reasons VOC dies inside companies is not ritualized. You can fix that by embedding feedback rituals into everyday work. Start every ops meeting with one minute of the customer, a quote or a team of the week. Share a monthly top-five feedback team's deck with executives at a VOC section to quarterly business reviews. Those are really great examples you could utilize right off the get-go. Now, let me share a pro tip with you.
Use visuals, word clouds, codes or even audio clips from actual customer support calls to make that resonate with your executives. Make the customer present in rooms they never been in.
Let's be clear6:14
Let's be clear. There is a cost to ignoring feedback. When customers give thoughtful input and nothing changes, they will stop trying. And internally, if your VOC program doesn't drive actions, stakeholders tune out, they see it as a noise. Stats show that only 27% of customers feel companies actually act on their feedback. But when they do, customer satisfaction and loyalty metrics rise significantly. Feedback ignored becomes a trust problem. Feedback use becomes a growth engine.
Now, here's the bottom line. Your customers are already telling you how to improve. The question is, are you closing the loop? Are you showing them you are listening? Are you helping your teams act on what they hear? Are you treating feedback like an asset? Not a checkbox. Because when VOC becomes a system, not just a survey, it changes how decisions get made. It brings CX into boardroom. It turns your customer into co-creator of better experiences. So don't just collect feedback.
Put it to work.
